What to consider if you relocate your business

Moving into new offices is an exciting time and can have a transformative effect on a business but for those managing the move it can be an extremely stressful time. So much so that some companies delay moving, opting to stay in completely unfit for purpose offices to avoid the stress of it all. So, at Bucks Biz, we've come up with a checklist to help make your move as smooth as possible!

Use spreadsheets or documents to plan your move, include tasks that need to be addressed and completed
and list the people responsible for completing those tasks.

Timing
Plan your timing carefully, avoid moving at busy times as your business still needs to function during the
process - consider moving over a weekend or over the Christmas shut down period.

Set your deadline
Having a deadline date in mind will help you stick to completing tasks in a timely manner and things will get
done more efficiently. Having a deadline date will keep you motivated.

Before the move
Up to 2 months out from the move, measure up to make sure your furniture will fit and decide where it'll go.
Make a list of what you need to move and what you might need to buy.

Book a removal company
Get in touch with some removal companies and get at least 3 comparative quotes. Work out if you'll be doing the packing or if the removal company will be doing it for you. Sometimes the extra cost of getting them to do it for you is very worthwhile to reduce the amount of stress you face and will enable you to continue working in your business.

Check which facilities are included
Whether it's a serviced office or co-working space, always check exactly what is covered in your contact. Be it phones, phone lines, IT, utilities, water etc you need to know what you're going to be paying out for to be able to budget effectively.

Inform suppliers
Get in touch with all your suppliers at least 3-4 weeks in advance of the move so that they can update their systems and make new delivery arrangements. Set up all your mail re-directions and forwarding numbers at the same time - get this ticked off your list!

Set up
At least 2 weeks before you move in, start getting all the major components in place such as broadband, phones, storage units, IT etc and get a cleaning company in to do a thorough clean of the facilities.

Communicate the move
Engage with your employees, communicate what the move will involve, include HR, unions, board members, departments heads etc. Make sure everyone has time to voice their concerns and that their concerns are met with satisfactory solutions.

After the move
Reflect! How did it go? What is left to do? Ask staff for their feedback and look at areas that can be improved.
